General Guidelines

  1. The Scientific Program Committee welcomes abstract submission for all Oral or Poster presentations.
  2. Abstracts must be submitted only in English.
  3. A maximum total of three abstracts (including both Oral and Poster presentations) can be submitted by the same presenting author.
  4. The first author is principally regarded as the presenting author. The first author is responsible for attaining approval for presentation from co-authors before submission.
  5. Once submission is completed, you will automatically receive an e-mail confirming the receipt of your abstract submission. E-mail confirmation will be sent for each individual abstract submitted, each containing an ID and password. If you do not receive this e-mail within 30 minutes after submission, there is a possibility that your submission has not been processed completely. In that case, please contact the congress secretariat (wuwhs2012abstract@congre.co.jp).
  6. The ID and password that are generated automatically when an abstract is submitted are only valid during the abstract submission process and will be required if you are requested to revise your abstract submission. For security purposes, IDs and passwords cannot be reissued. Please store them carefully for future reference and use.
  7. Please verify that your e-mail address is correct as it will be used for correspondence purposes.
  8. After the deadline for abstract submission, further changes to abstracts will not be accepted. Please make sure all information is registered before the deadline for abstract submission.
  9. Please note that the acceptance of an abstract does not imply funding from the Congress.
  10. All presentations should be performed with respect to national and international legislation, and ethical guidelines both with regard to humans and animal protection.
  11. All accepted abstracts will be published in the Congress Abstract Book. The Congress Organizer has the right to edit the format of the abstract.

How to Submit Abstracts

All submission procedures will be in English (single-byte characters). You are advised to compile your abstract in accordance with the following guidelines.

 

  1. The abstract title should be written in CAPITAL LETTERS within 30 words.
    If you need to use special characters, please contact the Congress Secretariat by e-mail (wuwhs2012abstract@congre.co.jp).
  2. The number of authors (Presenting author and co-authors) should be no more than 10 persons.
  3. The number of affiliated institutions should be no more than 10. Please ensure that the title of the affiliated institution is no longer than 70 characters per institution.
  4. Abstracts should not exceed 300 words (about 2500 characters). Abstract title (within 30 words), names of authors and affiliated institutions are not included in the word count.
  5. Please check the Scientific Streams and select your preferred Stream (up to a maximum of three) in which you would like to make a presentation.
  6. No charts or graphics should be included in the abstract.
  7. When using special characters or symbols, please follow the input method as displayed on the submission screen.
  8. Please structure and write your abstracts using the following style:
  9. Purpose: Clearly state the purpose of the study.

    Methods: Describe your selection of observations or experimental subjects clearly.

    Results: Present your results in a logical sequence in the text.

    Discussion/Conclusion: New and important aspects of the study should be briefly discussed and the conclusions that are drawn from them should be stated. Statements such as "results will be discussed" or "data will be shown in the presentation" cannot be accepted.

    (However, single case reports are not limited to the above.)

  10. All abbreviations must be defined when they first appear in the text. Use generic drug and product names. If necessary, the brand name can be inserted as a reference, following the generic name. The Congress Organizer reserves the right to replace any brand name with a generic name without further notice.
  11. If the name of your affiliated institution or your own title is particularly long, this may result in the main text of the abstract being subject to word/character restrictions due to space limitations. To avoid such restrictions, you are requested to keep names and titles as short aspossible.

Notification of Acceptance

  1. All abstracts will be reviewed by the Scientific Program Committee using a blind review system, and the congress organizing committee will make a final decision on acceptance.
  2. Authors will be notified by e-mail of abstract review results for their presentation in Mid-March, 2012.
  3. Please verify that your e-mail address (submitter or presenting author) is correct as it will be used for correspondence purposes after the review process. In addition, in order to prevent errors, please keep the ID and password issued at time of submission until you receive notice of acceptance.
  4. If you wish to withdraw an abstract, please contact the Congress Secretariat (wuwhs2012abstract@congre.co.jp) by e-mail before the end of March 2012 and await confirmation of your withdrawal.
  5. The Congress Organizer reserves the right to exclude any abstract from the scientific program that is not accompanied by a participant (a presenting author at least) registration before May 31, 2012.

Copyright Transfer

To submit abstracts, the first/presenting author, with the consent of any other co-authors, must agree to transfer the copyright of the article submitted to the WUWHS2012 Congress Organizer.

Disclosure of Conflict of Interest (COI) Related to Your Abstract

Any Conflict of Interest (COI) must be clearly disclosed, but will not influence adoption of your abstracts. Please follow the instructions on the online abstract submission form. Please indicate any COI that have applied to the presenting author within the last one year.

The information provided will be disclosed at the bottom of your abstract.

Congress Awards (WUWHS2012 PRIZES)

The Congress grants prizes to presentations in the following categories that have been judged to be outstanding in their fields. The prize ceremonies are scheduled to take place at the closingceremony of the congress. All the awardees are encouraged to attend.

  • POSTER PRIZE (KCI Award) KCI

Travel expense support in the form of $2,500 USD each for 20 poster presenters as selected by WUWHS2012 Organizing Committee has been made possible through a KCI educational grant.

  1. This prize is granted to poster presentations that have been judged to be outstanding. All poster presentations are eligible for this prize.
  2. Those wishing to be considered as candidate of this prize are required to apply at the time of abstract submission.
  3. Only presentations that are unpublished will be considered.
  4. Judging of the poster presentations will be undertaken by members of the Congress Organizing Committee.
  • PRIZE FOR PAPERS FROM DEVELOPING COUNTRIES
  1. This prize is granted to presentations submitted by presenters from developing countries that have been judged to be outstanding.
  2. Those wishing to be considered as candidate of this prize are required to apply at the time of abstract submission.
  3. Only presentations that are unpublished will be considered.
  4. Judging of the presentations will be undertaken by members of the Congress Organizing Committee. It is anticipated that three to five presentations will be granted a prize.
  5. Each winner is awarded ¥200,000 prize money.
  • PRIZE FOR YOUNG INVESTIGATORS
  1. This prize is granted to presentations submitted by young researchers, who are under the age of 35 years on April 1, 2012, and whose presentations have been judged to be outstanding.
  2. Those wishing to be considered as candidate of this prize are required to apply at the time of abstract submission. In addition, proof of age of the applicant must be provided from an employer, supervisor or manager.
  3. Only presentations that are unpublished will be considered.
  4. Judging of the presentations will be undertaken by members of the Congress Organizing Committee. It is anticipated that two to three presentations will be granted a prize.
  5. Each winner is awarded ¥200,000 prize money.
